Who Is Vault Analytics?

Vault Analytics provides financial reporting and consolidation software for mid-market companies. Their buyers are CFOs, VP Finance, and Controllers — some of the most time-pressured, skepticism-hardened executives in the B2B world.

A previous agency had tried and failed to book a single qualified meeting in 2 months. The problem was that generic cold email approaches completely fail with finance executives who can smell a template from the subject line.

The Problem

01

Extremely Hard-to-Reach Personas

CFOs and VPs of Finance receive dozens of cold emails daily from software vendors. Generic benefit messaging — 'streamline your reporting' — is immediately deleted. Standing out required hyper-specific, context-aware outreach.

02

Previous Agency Failed Completely

Two months and zero meetings. The prior agency used generic list purchases and templated messaging with no personalization and no understanding of finance-specific pain points or seasonality.

The Plan We Built

We rebuilt everything around two core insights: (1) Finance executives respond to specificity — exact numbers, company-specific context, and references to regulatory or compliance pain they're actively dealing with. (2) Timing matters — CFOs at mid-market companies are most receptive to new tooling conversations right after quarter-end when reporting pain is freshest.

We built lists using funding data, hiring signals (finance ops hires), and company revenue growth as ICP filters. Every email referenced something specific — their ERP system, recent headcount growth, or an industry report relevant to their sector. No template was identical.

Strategy
CFO Persona Deep-Dive & Timing Strategy
Mapped the CFO buyer journey and identified the best 3 weeks of the month to reach out (post-quarter-end, not mid-close). Defined 2 pain angles: month-end close time and multi-entity consolidation chaos. Built a 90-day outreach calendar around fiscal quarter ends.

ERP + Headcount Signal List Building
Used Apollo + Crunchbase to build list of 1,400 CFOs/VPs of Finance at companies with $20M–$200M revenue, with 3+ finance hires in last 6 months (consolidation signal). Cross-referenced with ERP data (QuickBooks, Xero users most likely in pain).

AI-Personalized Sequences Built
Wrote 2 distinct 5-step sequences (pain angle 1: month-end close; pain angle 2: multi-entity). Clay AI workflow generated unique first lines for each CFO referencing their company's revenue range, sector, and ERP. Every email felt handwritten.

Launch
Campaign Launch & Ongoing Optimization
Launched to first 700 contacts on a Tuesday (highest finance exec open-rate day). Managed all replies. Pain angle 2 (multi-entity) outperformed 2.8×. Shifted all budget there. By week 8, 32 qualified meetings booked.
